NextKS Voice — Account and Data Deletion
Last Updated: August 31, 2026
This page explains how to request deletion of your NextKS account and the data associated with it, including data created through the NextKS Voice Android application. NextKS Voice is published by T-SolArch s.r.o. (doing business as "NextKS").
You do not need to have the app installed, and you do not need to sign in, to make a request.
How to request deletion
Send an email to support@nextks.com with the subject line "Account Deletion Request", and include:
- The work email address associated with your NextKS account
- The name of your organization or workspace
- Whether you are requesting deletion of your account, deletion of specific data, or both
We will acknowledge your request within five (5) business days and complete the actions described below within thirty (30) days. If we cannot complete part of your request, we will tell you which part and why.
How NextKS accounts work
This determines what can be deleted, so it is worth reading first.
NextKS Voice does not have its own separate account. You sign in with your NextKS account, which is linked to your Slack or Microsoft Teams identity inside your employer's workspace. If you are using NextKS for the first time, the app directs you to the NextKS web application to have that account provisioned. Deleting your account therefore means deleting your NextKS account, not only the data held on your phone.
NextKS is a business-to-business service. Your organization is our customer and acts as the data controller; NextKS acts as a data processor on its behalf. This is described in full in our Privacy Policy.
In practice this means some data is deleted at your own request, and some can only be deleted on the instruction of your organization. Both are set out below.
Audio recordings are never stored
NextKS Voice records audio and transmits it in short chunks to the NextKS Voice API for real-time transcription.
Audio is held in memory only and is discarded immediately once each chunk has been transcribed. NextKS does not store, archive, or retain audio recordings at any point. There is therefore no audio recording to delete.
The resulting meeting transcript is assembled in the app and saved to your organization's knowledge base. Transcripts are covered under "Data owned by your organization" below.
What we delete at your request
On receiving your request, and without needing your organization's approval, we will:
- Deactivate your NextKS account and revoke sign-in access
- Delete your session tokens and stored credentials
- Delete the NextKS Voice device registration and any push notification tokens for your devices
- Delete support correspondence you have had directly with NextKS, where we hold it as controller and are not required to retain it
In addition, uninstalling NextKS Voice removes all data the app has stored locally on your device.
Data owned by your organization
NextKS is a corporate knowledge management service. Content created by a user inside a workspace belongs to the organization rather than to the individual, and forms part of that organization's knowledge base. This includes:
- Meeting transcripts created through NextKS Voice
- Knowledge base entries, Q&A threads, and comments created in NextKS
- Your name and work email address where these appear as author or contributor attribution on such content
Your name and work email address are retained in association with content you created in order to preserve attribution, audit trail, and the integrity of your organization's knowledge base. Removing them would break the record of who contributed what.
You can still request that this data be deleted or anonymized. Because your organization is the data controller, we act on its instruction. You may either:
- Contact your organization's NextKS administrator directly, or
- Send your request to support@nextks.com, and we will forward it to your organization's administrator on your behalf and carry out whatever they instruct.
We will tell you when we have forwarded your request, and we will confirm the outcome to you once it has been actioned.
Deleting specific data without deleting your account
You do not have to delete your whole account to have data removed. You can ask us to delete individual meeting transcripts or other specific content using the same address, support@nextks.com. The same distinction applies: content belonging to your organization is deleted on your organization's instruction, which we will obtain for you.
What is retained, and for how long
| Data | Retention |
|---|---|
| Audio recordings | Not retained. Discarded immediately after transcription. |
| Account credentials and session data | Deleted when the account is deactivated. |
| NextKS Voice device registration | Deleted when the account is deactivated. |
| Name and work email as content attribution | Retained for as long as your organization retains the associated content, unless your organization instructs deletion or anonymization. |
| Meeting transcripts and knowledge base content | Retained under your organization's agreement with NextKS. Deleted or returned after that agreement ends, as set out in our Data Processing Agreement. |
| System and security logs | Up to 90 days, then deleted, unless retained longer for the investigation of a security incident. |
| Backups | Cycled and overwritten; personal data in backups is purged within 30 days. |
| Billing and accounting records | Retained as required by Czech accounting and tax law, up to 10 years. |
Your rights
Deleting your account does not limit your rights under the GDPR or other applicable data protection law, including the right of access, rectification, and erasure. These rights, and how to exercise them, are described in our Privacy Policy.
